  • Open QuickBooks Desktop, go to the Employees, Payroll Tax Forms & W-2s, and look for the Process Payroll Forms.
  • Click on Annual Form W-2/W-3 Wage and Tax Statement/Transmittal. Now click on the Create Form.
  • Enter the year for the W-2 forms you need to print under the Select Filing Period next to the Year option, and later click on OK. Note: This must be the year before subscribing to the QuickBooks Desktop Payroll Assisted service.
  • The following message may display: QuickBooks Desktop only stores one version of each tax. Now, click on OK.
  • Go with all the on-screen guidance to create the forms.
