The U.S Department of Treasury offers the free service of the EFTPS so that employer can pay their taxes electronically to the Internal Revenue Service (IRS). For the Businesses that are started after 2011: First Time Enrollment

For making the electronic payment for the first time of 940 and 941/944, you will be required to enroll in the EFTPS. The procedure for EFTPS enrollment depends upon the starting date of your business this is due to the fact that IRS Pre-enroll the new businesses.

  • Along with the 4-digit EFTPS PIN, IRS will also send you a letter.
    • You need to call the Internal Revenue Service (ISR) if you didn’t receive any such letter. You can have your PIN by providing the EIN (Employer Identification Number) and this is the only time when you receive the EFTPS PIN through a phone call. The reason why you don’t receive the PIN is that you didn’t provide the banking information for enrollment.
  • After that, you need to call at 1.800.555.3453 to activate your enrollment. Here, you need to provide information like PIN, EIN, contact number, and some banking information as well. Once all the information that you provided is verified you will receive an 18-digit enrollment number, you can also use this for creating your password.

Important Point: Before verifying the bank account information remember that this process will delay your payment for around 6 to 10 business days. You can instantly start making payments if you opt to not verify your bank account information, you just need to get through all the activation steps. Before adding bank information you should check it at least twice because only you will be responsible for the accuracy of the information. In case if the information that you provided is incorrect then you’ll get back your payment amount from the financial institution and IRS will also charge you a penalty for late payment.

  • Go to the EFTPS official website and go to the Login tab.
  • Then, click on the Need a password link.
  • Here, you need to provide information such as 4 PIN EFTPS PIN, EIN, last digits of enrollment number, & bank account. After that, you’ll be able to create your internet password.

Keep the 4-digit EFTPS PIN and internet password safe. You’ll be required both of these every time you submit an e-payment in QuickBooks.

For the Businesses that are started Before 2011: First Time Enrollment

Follow the instruction mentioned below if our business is started before the year 2011.

  • Visit EFTPS.gov and go to the Enrollment tab. Here, you’ll see simple steps to enroll in EFTPS.
  • You will receive your PIN and enrollment number through the U.S Mail within 7 to 10 business days of submitting the application.

NOTE: If you want to schedule a payment even before receiving the enrollment number and PIN then the only thing you need to do is to call the IRS at 1.800.555.4477 after two business days of completing the enrollment application.   • Once you received the PIN, again visit the EFTPS.gov
  • Go to the Login tab.

What if your EFTPS enrollment application gets rejected? Usually, the reasons due to which the application gets rejected are that EIN, Zip Code, or Legal Name that you provided during the enrollment did not match with the Internal Revenue Service (IRS) record.

Once you updated the incorrect information, you will get the approval within 24 hours. Once you get the approval, you will be able to pay the tax payment electronically using QuickBooks Online/Desktop Payroll.

NOTE: With the following instructions, you can only correct one piece of information. In order to fix more than one piece of information, you need to contact Intuit QuickBooks support.

  • Go to Workers > Payroll.
  • In the To-do list, select the Let’s go option by the side of Re-enter.
  • Here you can either write the legal name, EIN number, or Zipcode and then select OK.
  • Review the information one more time and if everything looks good, select Verify.
  • In order to verify your identity, you’ll need to answer some multiple-choice questions.
