The most important process to print an accurate cheque in QuickBooks Online is to align the printer settings properly. Now let us have a look at the steps to set up a proper alignment for printing an accurate cheque in QuickBooks online. 

1st Step:

  1. First of all you have to insert some blank pages in your printer to test the cheque alignment by printing some sample cheques on blank pages.
  2. Then you have to click on “+New”.
  3. Then you have to click on “Print checks” and then click on “Print setup”.
  4. Then you have to choose your cheque type and either click on “ Voucher” or “Standard”.
  5. Then you have to click on “View preview and print sample” and then click on “Print”.

  4. Then you have to click on “No, continue setup” for two times and then the cheque will open in an alignment window where you can easily modify the margins of your cheque to match it with the sample cheque and give a proper alignment to the cheque.
  5. Now in the cheque image window, you have to drag the grid so that the numbers remain in the same place they appear on the sample print of the cheque.Thus the alignment of the cheque will be automatically adjusted by QuickBooks online.
  6. The numbers that appear in the vertical and horizontal field of the sample cheque are adjustable and this will help QuickBooks to know where to print the amount of the cheque.
  7. Now after successfully adjusting the grid, you have to click on “View preview and print sample”.
  8. Then you have to click on “Print”.

  12. Then you have to click on “Finish Setup”.

4th Step:

  1. If still the alignment of your cheque is not accurate then you have to configure your printer dialog box and adjust the scale in it.
  2. When you click on the print option in QuickBooks online, it simply opens the default print dialog box.
  3. You have to adjust the size of the pages and also adjust the scales. The process of adjusting the sizes and scales of pages vary for different print experiences.

How to align pre printed cheques in QuickBooks Online

1st Step:

  1. First of all you have to set up printing preferences
  2. You have to open the “Settings” option and then click on “Payroll settings”
  3. Now go to the preference section and then click on “Paycheck printing”.

  5. Then you have to either click on “Print 1 stub” or “Print 2 stubs” and then click on “Ok”.

Let us take an example to know some basic tips to align the print. Let us assume that your current settings in Printer setup preference is the letter L and the number 5. Then after printing a sample paycheck if you observe that 

  • The information in the sample paycheck is too low, then you have to enter a letter that is before L in the alphabets i.e from A to K. Thus the information will move upwards.
  • The information in the sample paycheck is too high, then you have to enter a letter that is after L in the alphabets i.e from M to Z. Thus the information will move downwards.
  • The information in the sample paycheck is too far-right, then you have to enter a number that is less than 5 i.e. from 0 to 4. Thus the information will move in the left direction. 
  • The information in the sample paycheck is too far-left,then you have to enter a number that is greater than 5 i.e. from 6 to 9. Thus the information will move in the right direction. 

3rd Step:

  1. Now you have to print a sample paycheck.
  2. You have to open the “Payroll” option and then click on “Employees”.
  3. Then go to the “My Payroll” option and then click on “Paycheck list”.
  4. Then you have to select a paycheck and then click on “Print”.
