How to export data file from QuickBooks Online to QuickBooks Desktop?

      You can use data export to export your QuickBooks Online data to QuickBooks desktop.

      I want to remind this thing that exporting your data from QuickBooks Online to QuickBooks desktop does not mean that your QuickBooks online paid subscription will be canceled.

      Prepare your data for export

      • Open your QuickBooks online company.
      • Click on the gear icon at the top, select export data under tools.
      • Quickbooks will ask a reason why you are exporting your data select a reason and continue.
      • Go to under moving to QuickBooks desktop and select learn more.
      • Go to under download company data and select learn more.
      • Select install active x control now.
      • Review the export overview and select get started.
      • Click install for the ActiveX control and select install ActiveX control, now to confirm the installation a pop-up window appears for the next steps to install active x.
      • After installing ActiveX successfully select continue.
      • Select the date you want to export from the bottom right and select continue.
      • Review the limitations of exporting the data and select continue.
      • Enter your contact information at the bottom right and select continue.

      Important: you will receive an email with some steps to complete the process within a few minutes to 2 hrs, the receiving time depends on the total amount of data you are exporting. Receipt of this email means the data has been compiled and now you can move forward to the next steps.

      Exporting data from Quickbooks online

      If you want to continue the download option within the export process, you will need to repeat some steps.

      • Click on the gear icon at the top, select export data under tools.
      • Go to under moving to QuickBooks desktop and select learn more.
      • Go to under download company data and select learn more.
      • Select install active x control now.
      • Review the export overview and select get started.
      • Go to the QuickBooks online page and select continue to download.
      • Verify the version of the QuickBooks desktop to which you are exporting the data.
      • Important: If a company file is currently open, you need to close that file before proceeding.
        • To close QuickBooks company file follow the steps:
          • Go to the File menu and select Close Company.
          • After this, you will be placed at the No Company Open screen.
      • Click on download.
      • Go to save your company file window and select the location to save the export company file(do not change the file name).
      • Once the file download is finished, select convert now.
      • Go to the new QuickBooks file popup window, enter the file name and save the file to a local directory.
      • Important: Do not save the file to a network directory or to an external directory otherwise the process failed. Save your file to a local directory. After saving the file to a local directory a pop-up dialogue window containing a status bar will be displayed, if the status bar does not appear to be processing, verify QuickBooks desktop for an application certificate.
        • Go to the Windows taskbar, select the active QuickBooks desktop session. Now the application certificate must be shown.
        • In the application certificate select yes, prompt each time and then select continue.
        • Go to the confirmation windows that follow select done. After this, a new company file will build itself within QuickBooks desktop with QuickBooks online data. After its done QuickBooks will open within a new file.
      • After the export process completes, select Finished.

        3. Under Moving to QuickBooks Desktop?, select Learn more.

        5. Select Install ActiveX Control Now.
        6. Review the export overview, then select Get Started.
        7. Select Install for the ActiveX control, then choose Install ActiveX Control Now to confirm the installation.Note: There will be another window that will prompt for the next steps to install ActiveX.
        8. After successfully installing ActiveX, select Continue.
        9. Choose the date you want to export. At the bottom right, select Continue.
        10. Review the limitations of the data that will be exported, then select Continue.
        11. Enter your contact information. At the bottom right, select Continue.Note: You will receive an email with steps to complete the export conversion within a few minutes to 2hrs, depending on the amount of data that is being prepared. Receipt of this email means the data has been compiled and you are ready to move on to the next steps.

        Export from QuickBooks Online

        In order to get to the Continue to Download option within the export process, you will need to repeat a series of steps.

        1. Select the Gear icon at the top. Under Tools, choose Export Data.
        2. Under “Moving to QuickBooks Desktop?”, select Learn more.User-added image
        3. Under Download company data, select Learn more.User-added image
        4. Review the export overview, then select Get Started.
        5. In the Exporting from QuickBooks Online page, select Continue to Download.
        6. Verify that the version of QuickBooks Desktop, to which you are exporting, is open and sitting at the No Company Open screen.Important: If a company file is currently open, you need to close that file before proceeding.

            1. From the File menu, choose Close Company.Note: This will place you at the No Company Open screen.
        7. Select Download.
        8. In the Save your company file pop-up window, select a location to save the export company file.Note: It is not recommended to change the file name and to save the file to your Windows Desktop.
        9. After the file has finishes downloading, select Convert Now.
        10. In the Create new QuickBooks file pop-up window, give the file a name and save the file to a local directory.Important: We strongly recommend saving to your local directory. Attempting to save the file to a network directory or external media may result to conversion failure. This will display a pop- up dialogue window containing a status bar. If the status bar does not appear to be processing, check QuickBooks Desktop for an Application Certificate.

            1. In your Windows Task bar, choose the active QuickBooks desktop session, to bring it to the foreground.Note: This should also display the Application Certificate.
            2. Within the Application Certificate, choose Yes, prompt each time. Select Continue.
            3. In the confirmation window that follows, select Done. From this point, a new company file will build itself within QuickBooks desktop with QuickBooks Online data. When it’s done, QuickBooks will open within the new file.
